Cancellation & Refund Policy

Overview
At Elysium Sports Therapy, we understand that life can be unpredictable and that sometimes appointments need to be changed or cancelled. This policy sets out clearly what to expect when a booking is cancelled or amended, and how payments and refunds are handled.
By booking an appointment with us — whether online or in person — you agree to the terms of this policy.
Payment Options

When booking an appointment, you have two options for payment:
Pay Online at the Time of Booking
You may choose to pay in full at the point of booking via our online payment system. This secures your appointment and means no payment is required on the day of your treatment.
Pay on the Day
Alternatively, you may choose to defer payment and settle the full amount in person on the day of your appointment. Payment on the day is accepted by cash or a BACS transfer.
Please note: choosing to pay on the day does not reduce your obligation under this cancellation policy. The same cancellation terms apply regardless of when or how you pay.
Cancellation Policy
Cancellations Made More Than 24 Hours Before Your Appointment
If you cancel your appointment with more than 24 hours' notice, you will receive a full refund of any amount paid online, with no cancellation fee applied.
You may also choose to reschedule your appointment rather than cancel, subject to availability. We are happy to accommodate rescheduling requests wherever possible.

Cancellations Made Within 24 Hours of Your Appointment
If you cancel your appointment within 24 hours of the scheduled start time, any refund will be issued entirely at the discretion of Elysium Sports Therapy.
This policy exists because late cancellations leave insufficient time for us to offer the appointment slot to another client, resulting in lost income for the business. We appreciate your understanding.
Where a discretionary refund is granted for a late cancellation, we may offer one of the following at our discretion:

A full or partial refund to your original payment method

A credit note redeemable against a future appointment

The option to reschedule at no additional charge
Factors we may take into account when considering a discretionary refund include, but are not limited to:

Whether the cancellation was due to a medical emergency or sudden illness

Your history as a client

Whether sufficient notice was given to reasonably fill the slot

Any other exceptional circumstances at our discretion
We will always try to act fairly and reasonably, and we encourage clients to contact us as soon as they know they cannot attend.
No-Shows
If you do not attend your appointment and have not contacted us in advance, this will be treated as a late cancellation. No refund will be issued for no-shows, and no credit will be applied.
If you believe there were exceptional circumstances, please contact us and we will consider your case at our discretion.
Rescheduling
We are happy to reschedule your appointment provided you give us more than 24 hours' notice. Rescheduling requests made within 24 hours of your appointment will be treated in the same way as a late cancellation, and any rescheduling will be at our discretion.

Cancellation by Elysium Sports Therapy
In the unlikely event that we need to cancel your appointment, we will contact you as soon as possible and offer you the choice of:

A full refund of any amount paid

An alternative appointment at a mutually convenient time
We will not be liable for any additional costs or losses you incur as a result of a cancellation made by us, such as travel costs.
How Refunds Are Processed
Where a refund is approved, it will be returned to the original payment method used at the time of booking. Please allow up to 5 to 10 working days for the refund to appear, depending on your bank or card provider.
We are unable to issue refunds to a different payment method than the one originally used.
Your Consumer Rights
Nothing in this policy affects your statutory rights under UK consumer law. If you have a concern about a service you have received, please contact us in the first instance so we can try to resolve the matter.
